Approvals are a new part of Lumen5, and we’re excited for you to try them with your team! Below, we’ll outline how to use approvals and what to expect, starting from an Admin standpoint, and then an Editor standpoint so you can see the flow from both sides.

Admin Approval Workflow

Step 1. From the drop-down menu in the top right corner of your account, you can access your Workspaces. Select the settings icon next to each Workspace and then scroll to 'Other Settings' to enable editors to require approval before publishing a video. 

When an Editor goes to create a video, they will now no longer see the 'Publish' button. Instead they will see a button to 'Request' Review' and they can select an Admin user to request approval from.

Step 2. The Admin user that has been selected by the Editor will then receive an email containing the Editor's message and a button to review the video. 

When the Admin user goes to review the video, they won't see the 'Publish' button they usually see when creating their own videos. Instead they will see a button to 'Review'. 

Step 3: The Admin user then has the choice to either request changes or approve the video. If they want to request changes they can write a short message which will be sent back to the Editor who created the video.

Step 4: The Admin & Editor can keep exchanging change and review requests via email until the Admin approver is happy with the video, at which point they will select 'Approve video'. This will make the video automatically start rendering, and the Editor will receive an email confirming that their video has been approved and is ready.

The video will be available on the dashboard to download at any time. If an Editor makes any future changes to the video, they will need to seek approval from an Admin user again. 

Editor Approval Workflow

Step 1: When an Editor goes to create a video, instead of selecting the 'Publish' button they will now be able to 'Request' Review'. 

When Editors select this option they can select an Admin user to seek Approval from. All of the Admin users in the workspace will appear from the 'Approver' menu. The Editor can then write a short message to the Approver with the video.  

Step 2: Once the Admin has received the review email, they will view the video and then make the decision to either request further changes or approve the video. If they request further changes, the Editor will then receive an email containing the Admin's feedback message, and a button to return to the video to make further edits.

Step 3: When the Editor selects 'Edit Video' they will be taken back to the video editor to make further changes. They can then select the 'Request Review' button to send their updated video to the Approver for either further feedback or approval.

The Admin & Editor can keep exchanging change and review requests until the Approver is happy with the video, at which point they will select 'Approve video'. This will make the video automatically start rendering, and the Editor will receive an email confirming that their video has been approved and is ready. 

The Editor can then select the link to view and download their video and publish it on whichever social channel they choose.
